Please read these terms carefully before using our clinic phone management services.
These Terms of Service constitute a legally binding agreement between you and DialApp concerning your access to and use of our clinic phone management platform. By using our services, you agree to be bound by these Terms. If you do not agree, you must discontinue use immediately.
We are committed to protecting your privacy and the confidentiality of your data. DialApp only collects and processes the minimum information necessary to provide our services, such as phone numbers for call routing. We do not collect or store any health or medical records. For more details, please refer to our Privacy Policy.
Installation Agreement: You agree to download and install our Chrome extension as published and approved on the Chrome Web Store in accordance with Google's extension policies and guidelines.
EMR Integration: After activating our Chrome extension, phone icons will appear next to patient names in certain sections of your EMR system. You acknowledge and understand that these phone icons are not part of your EMR structure but are added by our extension to facilitate access to our calling service.
Data Access: Our Chrome extension has access to your EMR data but only extracts and uses phone numbers for the purpose of initiating calls through our service. No other patient data or medical information is accessed or used by our system.
Dashboard Login Requirement: For calls to be processed and identified through our system, your dashboard panel must be logged in. This login session serves as the authentication channel for call routing.
Security Responsibility: You must ensure that your dashboard panel remains secure and does not fall into unauthorized hands. Failure to maintain proper security may result in risk of misuse of our calling services, for which you accept responsibility.
Two-Factor Authentication: Our system provides two-factor authentication capability. You are strongly encouraged to enable and use 2FA for enhanced account security and to protect against unauthorized access.
DialApp provides cloud-based phone management for healthcare clinics. Our services include call routing through trusted providers like Twilio, usage reporting through your dashboard, and usage-based billing processed through Stripe. We do not store actual phone numbers - all numbers are blurred before storage for privacy protection.
We do not collect, store, or process any health-related information or patient medical data beyond phone numbers needed for calling functionality.
By connecting an EMR (Electronic Medical Record) system to DialApp, you represent and warrant that you are the legitimate owner and have full administrative access to that EMR. You acknowledge that DialApp cannot independently verify EMR ownership at the time of connection, and you accept full responsibility for ensuring you have the proper authority to connect and manage the EMR through our platform.
If at any time it is determined, or we are provided with sufficient evidence, that the EMR in question is owned or should be managed by another individual or entity, DialApp reserves the right to immediately revoke your access to that EMR without prior notice and to transfer access to the verified rightful owner. This policy is necessary to protect the integrity and security of clinic data and to ensure that only authorized parties have access to sensitive systems.
If you attempt to connect an EMR and receive an error indicating that the EMR has already been registered by another user, and you believe you are the rightful owner, you must notify us by email at info@DialApp.ca. Our team will review your request and, upon verification of your ownership, will initiate the process to transfer access to you.
Connecting your EMR (Electronic Medical Record) to DialApp does not pose any risk or threat to your EMR system, provided that the individual performing the connection already has legitimate access to the EMR. When you connect an EMR, only the EMR domain address is registered with DialApp for the purpose of user identification and call configuration. No direct access to your EMR data or system is granted to DialApp or to any other user through this process.
If someone who does not have access to your EMR attempts to connect it to DialApp by simply entering the EMR domain address, this does not provide them with any access to your EMR or its data. Access to your EMR always remains governed by your EMR’s own security and access controls, and DialApp’s involvement does not alter or bypass these controls in any way.
Our system is designed so that each EMR domain can only be registered to one owner within DialApp at any given time. When an EMR is being connected, we only check whether the domain has already been registered in our system. If it has, we do not allow duplicate registration. If another individual later proves ownership of the EMR, we simply transfer the domain registration within DialApp to the verified owner. Importantly, registering or connecting an EMR domain in DialApp does not grant any special access or permissions to the EMR itself.

Our platform integrates with third-party services such as telecommunications and payment providers. While we select reputable partners, we are not responsible for the availability, performance, or security of these third-party services. Your use of such services is subject to their respective terms and privacy policies.
To use our services, you must create an account by providing a valid email address and your name. You must be at least 18 years old and have legal authority to enter into these Terms. You are responsible for maintaining account security and all activities under your account.
The DialApp platform allows account owners ("Owners") to invite additional users ("Invited Users", "Share Users") to join their team and share access to the calling service. When adding a user, the Owner must provide a valid email address for the intended Invited User. An invitation will be sent to this email, and upon acceptance and registration, the Invited User will be added to the Owner's user list and granted access to the calling service, provided they have the necessary EMR access and have installed the required Chrome extension.
All usage by Invited Users is billed under the Owner's main account and is subject to the same billing terms and rates. Owners are responsible for ensuring that the email address entered for each Invited User is accurate. Owners may remove Invited Users from their account at any time, whether before or after the invitation is accepted.
By adding a user, you confirm that you are granting them access to use the DialApp calling service under your account. Granting access to the DialApp calling service does not constitute granting access to your EMR system itself. Each Invited User must have their own valid login credentials for the EMR in order to utilize the calling features.
You are solely responsible for managing your user list and for any activity performed by Invited Users under your account. Misuse of the invitation or access system may result in suspension or termination of your account in accordance with these Terms.
You agree to use our services only for legitimate healthcare communication purposes. Prohibited uses include illegal activities, harassment, unauthorized access, spam or marketing calls, and system abuse.
You are responsible for complying with applicable privacy laws (such as HIPAA) and ensuring proper consent for any calls made through our platform.
Pricing: Standard rate is $0.020 CAD per minute. Users who register before December 31, 2025, receive a promotional rate of $0.015 CAD per minute (25% discount) valid through December 31, 2026.
Billing Method: DialApp follows the pricing and billing practices of our telecommunications providers. In accordance with their policies, the final call duration is always rounded up to the next full minute for billing purposes. For example, a call lasting 1 minute and 29 seconds will be billed as 2 minutes. This rounding method is standard among our providers and is applied consistently in our system.
Payment Processing: All payments are processed through Stripe. Payment card information is stored securely by Stripe, not on our servers. We bill automatically based on usage. All payments are non-refundable unless otherwise stated.
Billing disputes must be reported within 30 days. Non-payment may result in account suspension or termination.
While we strive for high availability, we cannot guarantee 100% uptime. Service may be temporarily unavailable due to maintenance, updates, or technical issues. We work with multiple telecommunications providers to ensure call quality, but quality may be affected by factors beyond our control.
You are solely responsible for ensuring that your use of DialApp complies with all applicable laws and regulations, including but not limited to privacy, data protection, and healthcare regulations in your jurisdiction.
DialApp platform and all related technology is owned by us and protected by intellectual property laws. We grant you a limited, non-exclusive license to use our services in accordance with these Terms. You may not copy, modify, distribute, or reverse engineer any part of our services.
Our services are provided "as is" without warranties. We shall not be liable for indirect, incidental, or consequential damages. Our total liability shall not exceed the amount you paid us in the twelve months preceding any claim.
You acknowledge that unauthorized access to your logged-in dashboard creates risk of service misuse, and you accept responsibility for maintaining proper security.
DialApp shall not be liable for any failure or delay in performance due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, labor disputes, or interruptions in telecommunications or internet services.
We reserve the right to modify, suspend, or discontinue any part of the service at any time, with or without notice. We will make reasonable efforts to notify users of significant changes.
You may terminate your account at any time. We may terminate accounts for Terms violations or non-payment. Upon termination, we will delete your account data in accordance with our Privacy Policy and retention requirements.
If any provision of these Terms is found to be invalid or unenforceable, the remaining provisions will remain in full force and effect.
These Terms are governed by the laws of Canada. Disputes shall first be addressed through good faith negotiations, then through binding arbitration if necessary.
We may modify these Terms at any time. Material changes will be communicated by email or through our service. Continued use after changes constitutes acceptance of new Terms.
